ProjectMali Terms of Service
Effective date: [date] Last updated: [date]
Short version: ProjectMali is an early-access tool that organizes your supply spend. You check every line it produces. It is not accounting, legal, or compliance advice, it does not handle resident information, and early access comes with no guarantees.
1. Agreement
These terms are an agreement between you and ProjectMali ("we", "us"). By accepting an invitation, creating an account or using ProjectMali you agree to them and to our Privacy Policy. If you use it for a business, you confirm you are authorized to agree on that business's behalf. You must be at least 18.
2. What ProjectMali does
ProjectMali lets an adult family home business set up its homes, upload supply spend (by CSV or by receipt and document upload), match lines to a short item list, and see spend by home, vendor and category, plus lines that are not yet matched.
3. Early access
ProjectMali is currently in early access. During early access:
- Features may change, break, or be removed, and we may limit usage (for example, a daily limit on receipt readings).
- We do not promise any level of uptime or support response time.
- If we introduce charges, we will tell the account owner in writing at least [30] days beforehand, tell you the price, and will not charge you unless you agree to the paid plan.
- We may end early access or your access with [30] days' notice, or immediately if you break these terms or put the service or other customers at risk. We will give you a reasonable chance to export your data.
4. Your account
- ProjectMali is available by invitation. We decide who is invited and may decline or withdraw an invitation. Asking for access does not guarantee an invitation.
- Keep your sign-in details private. You are responsible for what happens under your account, including users you invite.
- Each person belongs to one business. Invite only people who work with your business.
- Give us accurate information and tell us at admin@projectmali.com if you think your account has been misused.
5. What you can and cannot upload
You may upload supply purchase information for your own business: invoices, receipts, price lists, and similar records. You may not upload:
- Resident names, medical or care information, or any other health information. ProjectMali is not designed for it.
- Social Security numbers, full payment card numbers, or bank account numbers.
- Anything you do not have the right to share, anything unlawful, or anything harmful to the service (malware, attempts to get into another business's data, automated scraping, or misuse of the receipt reader).
If we find content that breaks these rules, we may remove it and, if needed, suspend the account.
6. Your data
You keep ownership of the data you upload. You give us permission to store, process, and display it, and to have it read by our service providers, solely to run ProjectMali for you and as described in the Privacy Policy. We may use information that has been combined and stripped of anything identifying you or your business to improve the product.
You can ask us to delete your data at any time (see the Privacy Policy).
7. You review the results
Receipt and document reading uses AI and can make mistakes. Matching uses fixed rules and the matches you confirm. ProjectMali shows the totals it calculates from the lines in your account, but it does not check them against your books, bank, or vendors.
You are responsible for reviewing every line before you save it and for deciding whether the numbers are right before relying on them. Please do not use ProjectMali as your only record.
8. No professional advice, no HIPAA services
ProjectMali is a spend-tracking tool. It does not give accounting, tax, legal, licensing, or compliance advice, and it does not determine whether you meet any state licensing, Medicaid, or other requirement. ProjectMali is not set up to handle protected health information, and we do not sign business associate agreements. Do not use it for that purpose.
9. Emails
By using ProjectMali you agree that we may send you service emails and the spend summary and mapping reminders described in the Privacy Policy. Each has an unsubscribe link; see the Privacy Policy for what that link does today.
10. Our property
ProjectMali, its name, design and software belong to us. We give you a limited, non-exclusive, non-transferable right to use it for your business while you follow these terms. Please do not copy it, resell it, or try to reverse-engineer it. If you send us feedback, we may use it without owing you anything.
11. Disclaimers
ProjectMali is provided "as is" and "as available". To the fullest extent the law allows, we do not make promises that it will be error-free, always available, or that receipt reading or any totals will be accurate or complete, and we disclaim all warranties not stated here, including any implied warranty of merchantability or fitness for a particular purpose.
12. Limits on our responsibility
To the fullest extent the law allows, we are not liable for indirect, incidental, special, or consequential damages, or for lost profits, lost data, or business decisions made using ProjectMali. Our total responsibility for any claim related to the service is limited to [amount to be set]. Some places do not allow some of these limits, so they apply only as far as the law permits.
13. Your responsibility to us
You agree to cover claims, losses, and reasonable costs that come from content you upload that you had no right to share, or from your use of ProjectMali in breach of these terms.
14. Ending your account
You can stop using ProjectMali at any time and ask us to delete your data. We can end or suspend accounts as described in section 3. After your account ends, sections that by nature should continue (such as ownership, disclaimers, liability limits, and how disputes are handled) continue.
15. Changes to these terms
We may update these terms. For a meaningful change we will email the account owner at least [30] days before it applies. If you keep using ProjectMali after that date, you accept the updated terms. If you disagree, you can close your account.
16. Governing law and disputes
Washington State law governs these terms. We will first try to resolve any disagreement informally, so please write to admin@projectmali.com. Any claim that is not resolved will be brought in the state or federal courts located in [county], Washington.
